JOB PROFILE
The Fleet Inventory Administrative Assistant is responsible for a variety of general administrative duties that support the Fleet Department, including maintaining accurate records of all fleet-related equipment, parts, and supplies. The Fleet Administrative Assistant will support the Fleet Coordinator in various tasks related to fleet management  which will include assisting in day to day operations and contributing to the efficiency of the entire department.
Responsibilities:
  • Receive, verify, and enter information into computer systems to help management all company vehicles including service trucks, delivery trucks, leased vehicles, and pool cars. 
  • Complete office processes, including filing, handling mail, and directing telephone calls.
  • Compile and maintain local paperwork to include reports, vehicle information, and company documents for easy access and quick reference.
  • Perform basic receivable processes to include the generation or submittal of purchase orders/invoices.
  • File and fax documents as needed and copy and distribute documents as requested.
  • Perform other duties as assigned.
 
Basic Requirements:
·       A minimum of 1 year of general administrative or data entry experience is required; relevant school or workplace experience may be considered.
  • Above average proficiency in Microsoft Office and database work.
  • Attention to detail, solid organization, and multi-tasking abilities.
  • Ability to maintain confidentiality.
  • Ability to work in a fast-paced environment.
  • Must demonstrate ability to work effectively in a team environment.
  • Possess excellent organizational skills.
  • Must prioritize in a fast-paced multi-task environment.
  • Excellent oral and written communication skills, with a focus on internal relationship building to allow for business success.
  • Must follow up on tasks and assignments in a timely manner.
 
Educational Background:
  • High school degree or equivalent is required
